What is “Fix it Friday” with AI?

“Fix It Friday” is a ritual that involves setting aside time to use an AI tool to improve an existing process or workflow.

Why run the “Fix it Friday” with AI Play?

“Fix it Friday” with AI accomplishes two main goals:

  1. It encourages teams to dedicate time to improve ineffective, inefficient, and/or tedious processes or workflows, which will make what they deliver – and their experience delivering it – better.
  2. It incentivizes people to learn how to use AI, solve a real problem with it, and infuse it into everyday workflows.

When should you use the “Fix it Friday” with AI Play?

“Fix It Friday” can be run as often as you’d like, but it usually makes the most sense to do it about once a month. That way, you and your team have enough time to identify a process or workflow that could be improved with AI and test the improvements before tackling another challenge during the next “Fix It Friday.”

1. Prepare by scheduling “Fix It Friday”

Pick a Friday to run this Play. Block off at least three hours, up to a whole day if possible.

tip: Book a recurring time in advance

Scheduling a regular cadence (such as monthly) makes it more likely that this will become a regular ritual and not a one-off event.

2. Brainstorm processes and workflows to improve

Est. time: 30 MIN

On Monday or Tuesday before “Fix It Friday,” use a collaborative workspace like Confluence to brainstorm (as a team or individually) ineffective, inefficient, or tedious processes or workflows. For each one, describe what the goal or purpose is of the process or workflow, and write down where it breaks down, slows down work, or becomes a pain.

As the week progresses, add new ideas to the document whenever you spot new opportunities.

If you’re brainstorming on your own, share the page with teammates to get their feedback and ideas too.

3. Fix it on Friday with AI!

Est. time: 3-8hr

When “Fix It Friday” arrives, pick one process or workflow from your list to address on that day. Commit to spending the full time on the problem you’ve chosen, and minimize distractions by turning off notifications, listening to music, or finding a quiet space to concentrate.

Try various AI tools, methods, and experiments to improve the process or workflow. For example:

  • Try building an AI Agent
  • Browse the AI Training Workshop for inspiration
  • Ask the AI tool, such as Atlassian Rovo, to brainstorm solutions and start building them for you!

4. Share the love – and the learnings

Est. time: 10 min

At the end of the day, share a demo of your solution to tell your teammate about your successes, challenges, and next steps. You could record a short video using a tool like Loom, and share it in specific channels on Slack or Teams.
