Real-time visibility: Executives and teams alike gained a live snapshot of operations, with the ability to trace any initiative from high-level objectives down to individual tickets.

Idea-to-Impact Framework: Ideas are entered into Jira Product Discovery, prioritized, and aligned with strategic goals. Approved initiatives are converted into projects, tracked, and measured dynamically with Atlassian Analytics.

The impact: efficiency, clarity, and culture shift

Since adopting Strategy Collection, the results of Datasite’s transformation have been dramatic:

  • Meeting efficiency: OKR/MBR attendance dropped from 125 to 12 people, resulting in over 4,000 fewer meetings in five months and a $500,000 productivity gain—a 10x ROI.
  • Strategic clarity: 216 OKRs were rationalized down to 3 objectives and 12 key results, with every goal traceable to live work.
  • Adoption velocity: Jira Product Discovery became viral internally, doubling its license count as work became easier to find and act on.

Lessons learned

Datasite’s journey offers valuable lessons for any organization considering a similar transformation:

  1. Don’t digitize chaos: standardize goals and intake before automating
  2. Centralize intake and have one language of work
  3. Show the factory-floor view early to streamline executive buy-in
  4. Design for self-serve: if leaders can’t self-serve, they’ll invent parallel processes
  5. Start with lighthouse teams to prove value quickly, then scale
