Confluence - Features – Organise
Link, tag, index, cross-reference, search, hierarchify!
Four ways to find them
If vistors cannot find your information it may as well not exist. That is why Confluence makes it easy to keep your information organised. Confluence actively encourages you to build a powerful, navigable store for your knowledge, through:
1. Links
The value of a web page isn't just the information that's inside it but also the information that it links to. Confluence offers an intuitive way of linking between pages that makes it easy to connect content — just click on the 'hyperlink' icon:
You can link to pages, blogs and news items, mail messages, comments, attachments and external sites.
Confluence shows you a list of each page's incoming and outgoing links, giving you a picture of your vistors' possible paths through your site.
Links should never break. Ours won't.
Want to rename a page or move it to another space? No problem. Simply rename your page and all links in your Confluence site will be automatically updated for you!
Even links from sites outside Confluence will be intelligently redirected to the page's new location.
2. Hierarchy
You can also organise your site by building hierarchies of pages. By structuring pages into 'parents' and 'children', you can naturally build chapters and sections into your site. You can even view an entire space as a tree:
Confluence automatically creates a 'breadcrumb' navigation trail to indicate the current page's parental hierarchy:
3. Tags
Confluence also gives you an easy way to cross-reference and categorise information, by tagging content with 'labels'.
Authorised editors can quickly add labels to any page as they move around the site. Other users can create their own private information structure by using 'personal labels'.
Once a page is labelled, then clicking on the label's name allows you to browse other pages with the same label, or view related labels that commonly occur on the same pages.
You can view a space's most popular labels to get an idea of the most popular topics within the space:
You can also view a space's labels alphabetically, which is a convenient way of providing an index for online documentation:
4. Search
Your vistors can always find what they need using the search box on every page.
Structure and restructure
As your organisation changes over time, it is easy to restructure your Confluence wiki accordingly.
Usage example: If two departments merge, simply move their content into the same space.
People sometimes need to change, rename, move or reorganise their documents. Recognising that this is an inherent part of organic content growth, Confluence makes this process effortless — and safe (thanks to unbreakable links).
